1. Scope and context
AOT IT Solutions Inc. respects the privacy of website visitors and business contacts. This policy describes website, inquiry and OpsAI account processing in a clear and proportionate way, taking account of the Philippine Data Privacy Act of 2012, its implementing rules, and applicable guidance. It is not a substitute for notices that may apply to a specific service engagement.
2. Information you provide
When you contact AOT, the information may include your name, work email, company, telephone number, area of interest, and the details you choose to include. Please do not submit passwords, credentials, payment information, health information, government identifiers, or other sensitive personal data through a general website inquiry.
OpsAI uses your name, email address, organization, country, workspace timezone and authentication information to create and protect your account. If you choose Google or Microsoft sign-in, OpsAI uses the identity and basic profile information returned by that provider. Connecting a sign-in method does not grant access to another organization's monitoring data. Authorized workspace users provide monitoring configuration and telemetry under the applicable service agreement.
3. How inquiry information may be used
AOT may use inquiry information to respond, understand the requested business context, arrange a discussion, maintain appropriate correspondence records, protect the website, and meet legal or regulatory obligations. The website contact form sends an inquiry to AOT by email after server-side validation and an automated abuse check. Visitors may instead use the published email address.
4. Basic server and analytics data
Hosting providers may process technical information such as IP address, request time, requested URL, browser information, and security events to deliver and protect the website. AOT records aggregate daily counts of steps such as viewing pricing, starting a trial and completing subscription activation. These event records contain no email addresses, passwords or payment credentials and are retained for up to 90 days. Security checks may use limited technical identifiers to prevent abuse.
5. Cookies
The website does not intentionally set advertising cookies. OpsAI uses essential cookies for sign-in, MFA, account setup and request protection. Essential hosting or security services may use limited technical mechanisms necessary to deliver or protect the site. Any future non-essential cookies should be documented and controlled appropriately.
6. Service providers and disclosure
AOT may use carefully selected providers for website hosting, security, communications, and professional support. Cloudflare hosts and protects the website and may process request and Turnstile security data. ZeptoMail processes transactional account notices and website inquiries for email delivery. Google or Microsoft processes authentication when you choose that sign-in method. PayPal processes subscription approval and payment details when you choose PayPal; AOT retains the subscription status, accepted order terms and transaction references needed for billing, support and accounting. AOT does not receive your PayPal password or full payment-card details. Information is shared only as needed for these functions or when required by law.
7. Retention
Inquiry and technical records should be retained only for as long as reasonably necessary for the purpose collected, legitimate business recordkeeping, security, dispute handling, or legal obligations. Retention periods should remain proportionate to those purposes.
8. Security
AOT applies reasonable organizational and technical measures appropriate to website information. No internet transmission or storage method can be represented as completely secure, so visitors should avoid sending sensitive information through general inquiry channels.
9. Your rights and requests
Subject to applicable Philippine law, individuals may have rights to be informed, access personal data, object to or request correction of processing, and seek erasure, blocking, portability, or other remedies where applicable. Identity and authority may need to be verified before a request is fulfilled.
